The patient recall playbook most med spas never actually run
Most med spas already know recall matters. Very few run it in a way that actually recovers the revenue sitting in their patient list.
Every med spa has a list of people who got great results, said so out loud, and then simply never came back — not because they were unhappy, but because nothing reminded them to. That list is usually the single largest pool of unclaimed revenue in the business.
What actually moves the number
- Segment by dormancy window and treatment type. Recently-lapsed patients (6–12 months) respond very differently than long-lapsed ones (12–24+ months), and a Botox patient needs different messaging than a laser or filler patient.
- Personalize every message. Reference their name, their last treatment, and their provider by name — this alone is the biggest single lever.
- Automate the trigger. The message needs to fire at the right interval without a staff member remembering to send it manually.
- Track rebook rate by segment, not just open rate.
- Handle consent and quiet hours correctly. SMS and email marketing carry real compliance requirements (opt-in, opt-out, quiet hours).
Keeping it running
Clean the list periodically as patients move, opt out, or stop responding. Refresh the messaging every few months so it doesn't go stale. And loop in whoever manages the calendar, since every rebook the campaign generates still needs to land as an actual booked slot.
